Note-Taking Accommodation Information

Services for Students with Disabilities (SSD) provides note-taking support services that are designed to supplement a student’s learning process by having another person record the essential points delivered in a lecture environment.  More information is provided below on the Note-Taking accommodation for SSD Students, Volunteer Note-takers, and Faculty, please contact the SSD office by email at ssdstaff@mail.fresnostate.edu or by phone at 559-278-2811 for more information.

Students Registered with SSD

The student must first request Faculty Notification Letters through their mySSD Student Portal and sign the Note-taking Agreement form.  The agreement form must be reviewed and signed each semester.  The notification letters will be emailed directly to the appropriate professor(s). 

  • In the mySSD Student Portal, students will be able to:
    • View/Accept the Note-taking Agreement form
    • Request Note-taking Accommodations
    • Confirm the request for note-taking
    • Download notes that have been uploaded by the volunteer note-taker
    • Remove the request for note-taking accommodations, if notes are no longer needed for a course
  • For further instructions on the above procedures, please see the instructions below or reach out to ssdnotetaker@mail.fresnostate.edu.
  • Please note: Students who were eligible for note-taking during Spring 2021 and any semester prior, have been receiving their notes via email - this will no longer take place for most classes.
    • The efficiency of the mySSD system allows you to view your notes almost instantly, after they have been uploaded to the system by the note-taker.
    • You will receive an email once your note-taker has uploaded notes for a class.  

To Request Note-taking for a Class

  1. Login into your mySSD Student Portal
  2. Under “List Accommodations”, find your class.
  3. For Each Class select the checkmark box next to the words “Note-taking Services”.
  4. Select any other accommodations needed, and select the button that says, “Submit Request”. 

To Confirm Your Request Note-taking for a Class

  1. Login into your mySSD Student Portal
  2. Under “My Accommodations”, on the left side of the screen, select “Notetaking Services”
  3. For Each Class you will need note-taking for, select the button that says “Confirm Now”. 
    • Once You have confirmed, and a note-taker has registered and submitted notes, you will be able to download notes from your mySSD Student Portal.
    • If you do not confirm your request for note-taking within 10 days of the start of class, your request will be automatically cancelled.

To Remove Your Request (Decline) for Note-taking for a Class

  • If you know you will NOT need notes for a class, do not check mark that eligibility when you are requesting your accommodation in List Accommodations.
  • If you selected that you need notetaking, and you then determine that the note-taking accommodation is not necessary for a class, please follow the following steps to make changes:
    1. Login into your mySSD Student Portal
    2. On the main overview page, scroll down to the specific class, and select “Modify Request”.
    3. When you get to the Request Overview page, you can uncheck the box next to “Note-taking Services”
    4. Scroll down and select “Update Request”

To Download (View) Notes

  1. Login into your mySSD Student Portal.
  2. Under “My Accommodations”, on the left hand side of the screen, select “Notetaking Services”.
  3. Your classes will show on the center of the page.
  4. Select the button under the class listed that says, “Available Note(s) for Download”.
  5. Note(s) selection will show and you can download the notes you need.  

 

The requesting SSD Student is responsible for the following:

  • Submitting the request for their Faculty Notification (mySSD Student Portal) and confirming the need for a volunteer note-taker.
  • Notifying SSD if they drop the class or need to be absent for a prolonged period of time.
  • Attending classes for classes in which notes are received.
  • Not sharing notes with anyone else.
  • Attending and taking their own notes to the best of their ability.
  • Observing the note-taking services and the volunteer note-taker with professionalism, courtesy, and respect.
  • Notifying SSD as soon as possible in the event that they do not have a note-taker, are not receiving notes or have stopped receiving notes. 

Volunteer Note-Taker Information

Thank you for your interest in being a volunteer note-taker!  We will be accepting note-takers for classes in which a student who is using the note-taking accommodation is registered.  Therefore, not every class will require a volunteer note-taker.

  • In the mySSD Student Portal, Volunteer Note-takers will be able to: 
  • Register for the class(es) they are registered for and would like to be a volunteer note-taker for.
  • Upload completed notes for class.

  • Please note: Volunteer Note-takers who were previously registered as a note-taker were emailing notes to the SSD Notetaker Email - This will no longer take place for most classes.
    • The efficiency of the mySSD system allows you to upload notes to the system and almost instantly after they have been uploaded, allows the student to view and download them.

Registration 

Please use SSD’s Volunteer Note-taking Registration form. You will sign in using your Fresno State username and password. (Remember, only register if you have been asked by your professor.) 

In order to qualify for priority registration you must complete the following:

  • Register as a note-taker within 1 week of volunteering in your class.
  • Upload consistent, legible, and quality notes to the mySSD Notetaker Portal, for the full semester.
  • Upload notes each week, after each class period, no later than 48 hours after the class period.
  • Notify SSD within 24 hours if there were no notes to be taken during the class period and why (exam, canceled class, etc.) at ssdnotetaker@mail.fresnostate.edu.
  • Request notes from another student in the course, or the professor and email them if you are absent.

Sending notes as a Volunteer Note-taker

  • You will upload your notes to the mySSD Student Portal.  
  • Notes need to be TYPED and uploaded as a Microsoft Word Document or PDF file.
  • While PowerPoints and Images can be uploaded, they are NOT the best format, due to size.  If you need to send PowerPoints, please reach out to the Accommodations Coordinator at ssdnotetaker@mail.fresnostate.edu.
  • If you need to submit handwritten notes, they must be approved by the note-taking coordinator, prior to submission. Please email: ssdnotetaker@mail.fresnostate.edu for more information.

Volunteer Note-taker Incentives

Volunteer Note-takers who successfully complete the above stated responsibilities will be awarded Priority Registration for a future semester.  (Please note this is not offered during the registration that occurs during the same semester that note-takers are volunteering. )

Faculty Notification & Cooperation

Thank you for assisting Services for Students with Disabilities to obtain a volunteer note-taker for one or more of your classes!  Volunteer Note-takers should be obtained as soon as possible after you have received the emailed Faculty Notification.  Please check your email for these requests.  

Please utilize the following procedures in obtaining a note-taker for the semester:

  • MAINTAIN THE STUDENTS PRIVACY: Legally, ALL information related to the disability and the individual with a disability MUST REMAIN CONFIDENTIAL.
    • Do NOT Give the students information (name, email, etc.) to the volunteer note-taker.
    • Do NOT announce the student's name to the class.
  • Obtain a volunteer in your class.
    • Please note: if there is more than one student with SSD in your course needing this accommodation, ONE note-taker is sufficient.
  • Announce the need for a volunteer note-taker in your class via class session, Canvas or email request.
    • You may remind students there is the opportunity to receive Priority Registration for a future semester.
  • If you cannot find a volunteer, please contact the Accommodations Coordinator at ssdnotetaker@mail.fresnostate.edu as soon as possible.

“A student in this class has a need for a volunteer note-taker throughout the semester.  Is there someone in this class willing to share their class notes weekly?    

If you are interested please register at: https://elbert.accessiblelearning.com/FresnoState/ApplicationNotetaker.aspx. If you have questions, please email Belen Vera at ssdnotetaker@mail.fresnostate.edu.  At the end of the semester, you may be eligible to receive Priority Registration for a future semester. "

How can SSD assist you?

If you have any questions, comments or concerns with any area of note-taking, please contact Belen Vera.  Concerns include, but are not limited to:

  • SSD Students who are not receiving notes
  • Faculty/Professors who have not been successful with obtaining a volunteer note-taker
  • Volunteers completing the Volunteer Note-taking Registration
  • Completing notes on a Microsoft word document
  • Completing notes through Google Documents
  • Withdrawing from note-taking services

Certain students may not need a note-taker for their virtual class(es), however, it depends on how the course will be conducted.

  • If your course will be in a virtual synchronous environment, our office may need a note-taker for your course.
  • If your course will be in a virtual asynchronous environment or you are recording your lectures and putting them online, our office may not need a note-taker for your course.
